Holidays
Enter the holiday days you have planned in Elapseit. The system automatically calculates the number of working days requested, excluding Saturdays, Sundays, and public holidays.
⚠️ Please note that holidays cannot be taken on an hourly basis and must be requested as full days only.
The leave to be recorded in Elapseit is FP-Ferie.
Paid leave permits (ROL and former public holidays)
Enter in Elapseit the day and the number of hours you wish to take. Before submitting your request, check your payslip to verify your accrued balance of Working Time Reduction Leave (ROL) and Former Public Holiday Leave.
⚠️ Please note that, in accordance with the Confcommercio Tertiary Sector and Commerce Collective Agreement (CCNL), ROL leave does not accrue during the first two years of employment. Therefore, if you are still within your first two years of employment and need to take some paid leave hours, please select P2-Permessi ex festività, as these hours will accrue during the year.
The leaves to be recorded in Elapseit are:
- P1-Permessi riduzione orario
- P2-Permessi ex festività.
Accrued hours recovery
If you need to take time off and have hours available in your "Accrued Overtime" balance, select RE-Recupero ore accumulate in Elapseit.
⚠️ Please note that if you did not previously record the overtime hours worked, you will not be able to take the corresponding accrued hours recovery.
The leave to be recorded in Elapseit is RE-Recupero ore accumulate.
On-call availability
If you have an on-call agreement in place, record the hours in Elapseit each month for the days on which you were on call. Any intervention performed while on call is considered overtime.
⚠️ On-call leave types (weekday or holiday) are only valid for employees who have signed an on-call agreement with the company. If this does not apply to you, please do not use these leave types.
The leave types to be used are:
- RF-Reperibilità NO Tfr Festivo
- RW-Reperibilità NO Tfr Feriale
Overtime
Agile Lab promotes a work environment that supports work-life balance and flexibility, helping us achieve the best possible balance between our professional and personal lives. For this reason, overtime is not encouraged unless strictly necessary.
SA-Straordinari ad accumulo NO IN LUL
Any weekday overtime hours you work are accumulated in a time bank and can later be used as time off.
Overtime hours must first be recorded in the Timesheet under the appropriate row for the relevant project. They must then be justified in Elapseit by selecting the corresponding leave type, SA-Straordinari ad accumulo NO IN LUL, to ensure accurate tracking of your accrued hours balance:
- Overtime hours must be recorded under SA-Straordinari ad accumulo NO IN LUL.
- Hours taken as recovery time must be recorded under RE-Recupero ore accumulate.
S2-Straordinario festivo / S3-Straordinario notturno
Any overtime hours worked on non-working days or during nighttime hours must be recorded in the Timesheet under the appropriate row for the relevant project. They must then be justified in Elapseit by selecting the corresponding leave type:
- S2-Straordinario festivo for holiday overtime
- S3-Straordinario notturno for night overtime.
Strike
If you participate in a strike, record your absence in Elapseit using the appropriate leave type.
⚠️ Please note that strike hours or days are unpaid and must be accurately recorded to ensure proper administrative management.
The leave to be recorded in Elapseit is SC-Sciopero.
Patron Saint's day
You are entitled to one paid day off on the occasion of the Patron Saint’s Day of your hiring location.
Please make sure you do not work on that day; the system will automatically record the SP – Santo Patrono leave in Elapseit.
Below are the relevant dates:
- Bologna: 4 October
- Catania: 5 February
- Milano: 7 December
- Padova: 13 June
- Rende: 20 February
- Torino: 24 June
It is possible to change the Patron Saint’s Day only by selecting the Patron Saint’s Day of your city of residence. In this case, you must send an email to People Admin every year to request the change and record the SP leave in Elapseit on the chosen date, while the date not used must be filled in Elapseit with the expected working hours.
If the Patron Saint’s Day falls on a Saturday or Sunday, it cannot be rescheduled or recovered.
Electoral leave
You are entitled to a number of compensatory rest days equal to the number of polling days that fall on non-working days or public holidays.
To use electoral leave, you must send an email to People Admin with the document certifying the opening and closing times of the polling station.
If the polling station closes after midnight, you are entitled to an additional rest day.
The leave days must be taken within 15 days from the polling activity.
Please record the leave in Elapseit using PE - Permessi elettorali.
Examples:
- Polling station on Sunday and Monday: you are entitled to two days of electoral leave (Monday and Tuesday)
- Polling station on Saturday and Sunday: you are entitled to two days of electoral leave (Monday and Tuesday)
- Polling station on Saturday, Sunday, and Monday: you are entitled to three days of electoral leave (Monday, Tuesday, and Wednesday)
Study leave
A total of 150 hours of study leave is available over a three-year period and can be used to attend courses.
Exam days can be covered by additional study leave, which does not count toward the 150-hour allowance, up to a maximum of 40 hours per year. In all cases, you must provide People Admin with documentation certifying the exam taken or the course timetable.
The leave to be recorded in Elapseit is ST – Permessi studio e formazione.
Blood donation leave
If you are a blood donor, you are entitled to one paid day off.
You must send the certificate confirming the donation to People Admin.
In Elapseit, please select the leave DS – Donazione sangue.
Bereavement / Serious illness leave (Law 53/2000)
You are entitled to three days of paid leave per year in the event of the death or documented serious illness of:
- your spouse (including legally separated),
- your partner (provided that cohabitation is certified),
- or a relative up to the second degree.
The leave must be used within seven days of the event.
You must send People Admin:
- In case of death: death certificate indicating the degree of relationship (or a self-certification).
- In case of serious illness: within ten days of returning to work, appropriate medical certification issued by a specialist of the National Health Service (or contracted providers), a general practitioner, a pediatrician, or a healthcare facility in the event of hospitalization or surgery.
Please record the leave in Elapseit using LU Permessi lutto/gravi infermità.
Sick leave
From the first day of absence due to illness, a medical certificate is required.
⚠️ Please note: by law, medical certificates cannot be backdated, except in the case of a home visit, which must be specified on the certificate. Therefore, it is important to contact your general practitioner on the first day of illness.
You may either:
- send the medical certificate to People Admin, or
- directly enter the certificate protocol number in Elapseit.
The leave to be recorded in Elapseit is M1 – Malattia.
Hospitalization
In the event of hospitalization, you must:
- send People Admin the certificate issued by the healthcare facility indicating the start and end dates of hospitalization;
- record the leave in Elapseit using MS – Malattia ospedaliera for the period indicated in the certificate.
The pre-hospitalization day may be recorded in Elapseit using MS – Malattia ospedaliera only if it took place as a Day Hospital and a certificate covering the entire working day is issued. The certificate must be sent to People Admin.
If the working day is only partially covered, you must record the entire day as FP – Ferie.
Specialist medical appointments
For specialist medical appointments, simply record in Elapseit:
- FP – Ferie for a full day, or
- P2 – Permessi ex festività / P1 – Permessi riduzione orario for part of the day.
Workplace accident
In the event of a workplace accident, you must:
- promptly inform your manager;
- go to the emergency room, which will send the accident certificate to INAIL to open the case;
- send all documentation received from the emergency room to People Admin;
- record the leave in Elapseit using I1 – Infortunio for the prognosis days indicated on the certificate.
In case of an extension of the accident period, promptly inform People Admin and send the continuation documentation issued by INAIL.
