Environmental Guidelines: Energy Consumption, Waste Sorting and IT Equipment Disposal
At Agile Lab, environmental responsibility is part of how we work every day.
As a digital and remote-first company, our environmental impact is mainly related to energy consumption, IT equipment, business travel, remote working and the services we purchase.
Small actions, when adopted consistently by everyone, help us reduce waste, use resources more efficiently and improve our environmental performance.
These guidelines apply to all Agile Lab people, whether working from home, from one of our offices, in a coworking space or at a customer's premises.
1. Energy Consumption: Use Only What You Need
Using energy responsibly helps reduce our environmental footprint, both in our offices and while working remotely.
Everyone is encouraged to follow a few simple practices:
- Switch off lights when leaving meeting rooms or other spaces that are no longer in use.
- Turn off monitors and other devices at the end of the working day when they are not needed, unless they must remain active for operational or security reasons.
- Use energy-saving settings on laptops and monitors, in accordance with Internal IT requirements.
- Avoid unnecessary heating or cooling. Where temperature controls are available, use them responsibly and avoid leaving windows open while heating or air conditioning is running.
- Avoid unnecessary printing. Prefer digital documents and shared repositories whenever possible.
- Use shared resources efficiently, including meeting rooms, office equipment and other common facilities.
These recommendations also apply when working from home. Remote working reduces the need for commuting, but still involves energy consumption for computers, heating, cooling and other equipment.
Agile Lab monitors its environmental footprint through its greenhouse gas inventory, prepared in accordance with ISO 14064-1, and uses the results to identify opportunities for improvement.
2. Waste Sorting: Put Waste in the Right Place
Waste sorting is a simple but important part of our environmental commitment.
When working in an Agile Lab office or coworking space, everyone must follow the waste sorting rules applicable to that location.
In particular:
- Paper and cardboard: use the dedicated containers, keeping materials clean and free from unnecessary plastic packaging.
- Plastic, metal and other packaging: follow the instructions provided by the local waste collection service.
- Organic waste: use the dedicated containers where available.
- General waste: use this category only for materials that cannot be collected separately under local rules.
- Batteries, electronic devices and other special waste: never dispose of these in ordinary waste containers.
Waste collection arrangements may differ between offices and coworking spaces. Always follow the instructions provided by the facility manager and the local waste collection service.
When working remotely, follow the waste sorting rules of your municipality.
When in doubt, do not guess. Ask the office or facility contact before disposing of an item.
3. IT Equipment: Reuse Before Disposal
Laptops, monitors, smartphones, peripherals and other electronic devices are essential to our work, but their production and disposal also have an environmental impact.
For this reason, Agile Lab promotes responsible equipment management throughout its life cycle.
Taking care of your equipment
- Use company devices carefully and follow Internal IT instructions.
- Avoid unnecessary replacement of devices that are still functioning properly.
- Report damaged, malfunctioning or obsolete equipment to Internal IT.
- Do not independently discard or transfer company-owned devices.
Returning or replacing equipment
When a company device is no longer needed, must be replaced or is returned during offboarding, follow the existing Internal IT and asset management processes.
Equipment may be assessed for continued use, reassignment, recovery or disposal, according to its condition and company requirements.
Never dispose of company-owned IT equipment through household waste or ordinary office waste collection.
Electronic waste (WEEE)
Waste Electrical and Electronic Equipment (WEEE), known in Italy as RAEE, must be managed separately from ordinary waste.
This includes, where classified as waste:
- Laptops, desktop computers and monitors.
- Smartphones, tablets and network equipment.
- Keyboards, mice and other electronic peripherals.
- Batteries and other electronic components requiring dedicated collection.
Agile Lab manages company electronic waste through the processes established in IO 18 – Waste Management, using authorised operators and retaining the required disposal and traceability documentation.
Before equipment is transferred, reused or disposed of, any information stored on it must also be managed in accordance with company Information Security and Data Protection requirements.
4. Everyone Can Contribute
Environmental responsibility is not limited to specific roles or departments.
Everyone can contribute by using resources responsibly, avoiding unnecessary waste, taking care of company equipment and reporting situations that could have an environmental impact.
If you notice incorrect waste disposal, unnecessary resource consumption or an issue involving company IT equipment, inform the relevant office contact, Internal IT or the appropriate company function.
Suggestions for improving our environmental practices are always welcome and can be proposed through the usual Handbook contribution process.
